Build a paperwork go-kit before you need it

One folder, one checklist, one afternoon. The documents most applications ask for, gathered in advance.

Most applications, renewals and appointments ask for the same handful of documents. Gathering them once, calmly, beats hunting for them the night before a deadline.

The checklist

  • Identity: a current photo ID for each adult.
  • Social Security: cards or at least the numbers for everyone in the household.
  • Birth certificates: certified copies where you have them.
  • Proof of address: a recent lease, mortgage statement or utility bill.
  • Income records: recent pay stubs, benefit letters, or a profit-and-loss summary if you are self-employed.
  • Last year's tax return.
  • Recent bank statements.
  • Housing costs: rent or mortgage amount and recent utility bills.
  • Insurance cards for anyone covered.

How to store it

Use one physical folder with a tab per category. Keep originals of hard-to-replace items (birth certificates, Social Security cards) somewhere secure, and keep photocopies in the go-kit instead.

Make a digital twin

Scan or photograph each document into a password-protected folder or encrypted drive. Many agencies accept uploads, so a clear scan can save a trip.

Keep it fresh

Pay stubs and bank statements go stale fast. Pick one day a month to swap in the newest ones.

This is a general checklist. Each agency publishes its own document list; check it before you apply. HelpNinja does not take applications.
